And the decision you make will commit you for at least a year.<\/p>\n<p>The problem is that what really distinguishes two cleaning providers almost never appears on a quote: who will carry out the work, with what team stability, and what will happen on the day something goes wrong.<\/p>\n<p>Here is the method for choosing based on the right criteria, and the questions that make the difference.<\/p>\n<h1>Before comparing, define your needs<\/h1>\n<p>Comparable quotes are almost always a symptom of a poorly defined need. Before consulting with any providers, clearly define five key elements in writing: without them, each provider will calculate their own interpretation of your request, and you&#8217;ll end up comparing offers that have nothing in common.<\/p>\n<ul>\n<li>The size and layout of your premises: open space, closed offices, floors, common areas.<\/li>\n<li>Frequency and time slots: daily or several times a week, during the day or at off-peak hours.<\/li>\n<li>Specific services: window cleaning, disinfection, technical flooring, restoration, consumables management.<\/li>\n<li>The scope: a single site or several, with or without a common standard.<\/li>\n<li>The expected level of requirements: a head office that receives clients does not have the same expectations as a warehouse.<\/li>\n<\/ul>\n<p>The best way to formalize all of this is to draw up a cleaning specifications document detailing the services and their frequency for each area. The more precise this framework, the more comparable the bids received will be, and the more reputable service providers will stand out from the rest.<\/p>\n<h1>The 7 criteria that really make a difference<\/h1>\n<p>Most guides list experience, equipment, and proximity. These are useful criteria, but rarely decisive: almost all providers meet these criteria. The first four criteria below, however, clearly differentiate the providers, and these are the ones most often overlooked.<\/p>\n<p>&nbsp;<\/p>\n<h2>1. Who will actually perform the service?<\/h2>\n<p>This is the most crucial criterion, and the least verified. In the cleaning industry, it&#8217;s common for a company to win a contract and then subcontract all or part of it. As a result, the company you signed with isn&#8217;t the one working on your premises, the quality depends on a third party you didn&#8217;t choose, and responsibility is diluted as soon as a problem arises.<\/p>\n<p>Ask the question directly: are your agents your employees, or do you use subcontractors? The answer, and especially the way it is given, will tell you a lot.<\/p>\n<h2>2. Team stability<\/h2>\n<p>An agent who changes every two weeks will never know your premises: neither the sensitive areas, nor your teams&#8217; routines, nor what matters to you. Stability is not a luxury, it&#8217;s a direct condition for quality.<\/p>\n<p>Request three indicators: the proportion of employees on permanent contracts, the turnover rate, and the average seniority of the teams. As a benchmark, the cleaning sector has an average of 83% permanent contracts. A service provider significantly below this figure exposes you to constant turnover; a provider significantly above it has made a structural choice.<\/p>\n<h2>3. What happens when there is a problem<\/h2>\n<p>Everything hinges on this. During the sales phase, all service providers are responsive. Demonstrate your suitability.<\/li>\n<li>How does the takeover process work if I change service providers? This demonstrates mastery of Appendix 7.<\/li>\n<li>What are the conditions for entering into and exiting the contract? This reveals the provider&#8217;s confidence in themselves.<\/li>\n<\/ul>\n<h1>Warning signs<\/h1>\n<p>There are a few things that should make you slow down, regardless of the price offered.<\/p>\n<ul>\n<li>A quote without details of the number of hours or frequencies per zone.<\/li>\n<li>A refusal of a prior technical visit: no one can provide a serious estimate without having seen the premises, measured the areas and identified the access constraints.<\/li>\n<li>No commitment regarding a response time or a named contact person.<\/li>\n<li>A lack of clarity is maintained regarding the status of agents or the use of subcontracting.<\/li>\n<li>Unverifiable references, or always the same big names without context.<\/li>\n<li>A price significantly lower than the rest of the market, without any credible organizational explanation.<\/li>\n<\/ul>\n<h1>Comparing quotes that are not comparable<\/h1>\n<p>The natural reaction is to look at the amount. That&#8217;s precisely what you should do last. Start by converting all the offers to the same unit, filling in a table with different criteria, for each provider: the differences will become apparent.<\/p>\n<h1>After making your choice, secure the installation.<\/h1>\n<p>Choosing is only half the battle.
